Pre Sales Orders
Take orders and receive returns directly from the field, approve orders via an advanced approval cycle with the ability to convert orders to invoices. Creating sales orders is supported with the real time van inventory management which delivers accurate information on products availability, price, and expiry dates.
Sales Orders Summary
The Sales Order Summary provides a list of sales orders created by reps or admins, along with their current status (Pending, Processing, Approved, Rejected). This report gives a detailed overview of all sales orders and their key details. The columns in the report include:
- Serial #: Unique identifier for the sales order.
- Issue Date: The date the sales order was created.
- Time: The time the sales order was created.
- Version #: The version number of the sales order (approval cycle changes the version).
- Creator: The individual who created the sales order.
- Editor: The last person who edited the sales order.
- Client Name: The client associated with the sales order.
- Geo Tag: The geographical location where the order was created.
- Number of Items: The total number of items in the sales order.
- Total: The total amount of the sales order.
- Custom Status: Any custom status applied to the sales order.
- Status: The current status of the order (Pending, Processing, Approved, Rejected).
- Visit ID: The visit associated with the sales order.
This report allows for easy tracking and management of sales orders, providing insights into their status and details.
Bulk approvals
At times, you may want to bulk approve or reject multiple sales orders at once. You can do this from the Sales Order Listing:
- Check the sales orders you want to approve or reject.
- Click on the Approval button.
- Choose either Approve or Reject to apply the action to all selected sales orders.
Bulk Actions
In addition to bulk approving or rejecting sales orders, you can also perform the following actions in bulk from the Sales Order Listing:
- Print in Bulk: Select multiple sales orders and click on the Print button to print them all at once.
- Set Custom Status: Select the sales orders you want to update, click on the Custom Status button, and choose a custom status to apply to all selected orders.
These bulk actions streamline the management of multiple sales orders, allowing you to approve, reject, print, or update statuses efficiently.
Viewing sales order details
In the Sales Order Summary, you can click on any sales order to view its detailed information. The details include:
- Items Table: A list of all the items included in the sales order.
- Creator: The person who created the sales order.
- Approval Cycle: The approval process the sales order has gone through, including who approved or rejected it.
- Status: The current status of the sales order (Pending, Processing, Approved, Rejected). Additionally, you have the following options:
- Print the sales order in English or Arabic.
- Export the sales order details to Excel.
- If the sales order is fully approved, you can convert it to an invoice.
- You can also click on Credit Limit & Balance to view the client's financial details, including their credit limit and current balance.
This view provides a complete breakdown of the sales order, along with options to print, export, convert to invoice, and check the client's financial status.
Return Sales Orders Summary
The Return Sales Orders Summary is similar to the Sales Order Summary but displays the order returns created by admins or reps. It includes the same key information such as the status (Pending, Processing, Approved, Rejected), items returned, and other details specific to the returned orders.
This report helps track and manage the sales returns process efficiently.

Sales Order Analytics
The Sales Order Analytics Report provides detailed insights into sales orders, with line items displayed as rows by default. This setup allows for easy exporting to Excel or other tools for extensive analysis. The real power of this report lies in its Group By feature. For example:
- If you group by Product, the report will consolidate all line items by product and provide a sum of the order details.
- You can also group by Client, Rep, or even combine multiple fields, such as grouping by both Client and Rep for deeper insights.
This flexibility makes the Sales Order Analytics Report a powerful tool for analyzing sales performance across various dimensions.
Filters
To filter the Sales Order Analytics Report, you can use the following options:
- Date: Select the date range for the report.
- Clients: Select specific clients.
- Client Chains: Filter by client chains.
- Client Channels: Filter by client channels.
- Area Tags: Filter by area tags.
- Client Tags: Filter by client tags.
- Countries: Select specific countries.
- Regions: Filter by regions.
- Cities: Filter by cities.
- Reps: Filter by specific representatives.
- Admins: Select specific admins.
- Categories: Filter by product categories.
- Subcategories: Filter by product subcategories.
- Product Brands: Select product brands.
- Product Groups: Filter by product groups.
- Teams: Select specific teams.
- Promotions: Filter by active promotions.
- Variants: Select specific product variants.
- Products: Select products to include in the report.
- Taxes: Filter by applicable taxes.
- Group By: Choose the grouping criteria for the report (e.g., product, client, rep).
- Status: Filter by sales order status.
- Salesorder/Return: Choose to filter by sales orders or returns.
- Promotion Type: Filter by promotion type. (Get / Buy / General)
- Price: Set a price range (From Price: / To Price:).
Additional options: Including bellow checkboxes will add more columns to the report.

Exporting report
Sales Order Analytics can be easily exported to Excel for further analysis, and they can also be scheduled to be automatically sent via email on a daily, weekly, or monthly basis, ensuring that the right data reaches your team at the right time .
